Professional Experience
HR Assistant at Total Lubricants Middle East. From February 2007 – Present
•Provide assistance to the HR Department in handling the staff shares, provide staff with copy of their statement of accounts, and update the records of employees shares. Handle redemption requests & Payments.
•Update the HERMS system with the employees details and update the personal files with all related document such as Passport copies, Labour card copies, training record, documents renewal details …etc.
•Prepare the offering letters for the new employees
•Screen candidates for recruitment for selected positions as indicated by HR Manager.
•Coordinate with the PRO’s for visa issue of the new employees, cancellation of visa and all related employees documents.
•Maintain the life & Health insurance scheme of the group employees , new enroll , terminate , edit , update , b& communicate to the insurance provider .
•Preparing the salary certificate, Bank letters, work certificate, letter to consulates for visa.
•Arrange training seminars for employees whenever planed as per the training plan and procedures.
•Handle the Trade licenses, chamber of commerce certificate of the group, renewal.
•Safe keeping of Employees Passport and control of issue and return of passports.
•Handle the annual passage of the employees as per co procedures.
•Handle any other tasks related to the HR & Admin Department.
•Ensure the reliability of data entered within the HR management software.
•Ensure the reliability of the monthly payroll process in coordination with the Finance Department
•Report within the budget constraints to the Company’s management, the annual salary bonus and increment proposal in coordination with Department Heads
•Ensure the implementation of the HR procedures in terms of recruitment (contracts, visa procedures, medical insurance,), termination (final settlement, visa termination…) and day to day HR administration (holiday management, staff loans and leaves…) as per the PPM.
•Supervise the Office Administration team to guarantee a smooth running of the offices (trade licenses, travel policies, office and housing maintenance and rentals, POB reports…)
•Supervise the PRO activities and ensure their performance and reliability
•Monitor the training budget
