Duties & Responsibilities:
• Responsible in procurement of equipments (rental/purchase), major items/materials & services by P.O. or sub-contracting
• Management of bidding process
a) Contact vendors/sub-contractor by phone, email for the availability of the materials/parts or services
b) Review and evaluates supplier or sub contractor’s company profile/information to ensure the capacity and suitability, visit the factory/industry if necessary
c) Drafts RFQ/RFP terms and condition according to company’s policy and regulation but considering the type, scope & size of works
d) Issue RFQ/RFP/invitation to bid, after approval from the higher management
e) Evaluates bids/quotation from supplier/sub-contractor to ensure that specifications are met & most competitive bid is selected.
f) Conducts clarification meeting, negotiation of price, terms & conditions
g) Placement of P.O., contract award/service agreement for Material supply, supply & installation and sub-contract of material & services
• Management of P.O./contract to ensure that the right material/service, quantity, quality and delivery schedule is met. (by way of monitoring, checking, liaising with concerned parties and expediting deliveries to ensure that the supplier shall comply to the schedule.
• Responsible in developing relation with vendors
• Drafts of P.O., agreements, terms & conditions, warranty certificates, M.O.M., correspondence & etc.
• Work closely with the following departments:
a) Material controllers regarding receipts at project warehouse
b) Finance Dept for billings, payments & financial capability
c) Quality control for specifications & procedures
d) HSE for proper implementation of safety & health regulations
• Prepares/maintain necessary reports/record in a timely manner and applicable procedures
