Career Objective
One of the main tasks is to provide & support the whole company with secretarial duties.
Professional Experience
1) Assist with general office duties as required, especially providing general secretarial cover, answering the telephone, etc.
2) Opening and distribution of mails, and faxes to all concerned parties.
3) Archive implement and maintain filing system.
4) Typing & scanning duties as required.
5) Controlling of meeting room and facilities.
6) Maintaining incoming and outgoing courier system.
7) Deal with incoming mails, by distributing them.
8) Issuing business cards as required by different departments after being approved by the
department head.
9) Updating Fugro Internal extension numbers list, as well as companyˇ¦s address, phones and
faxes.
10) Doing translation if required (from Arabic to English and vise versa).
Administration Duties:
1) Administration of the Health Scheme.
2) Organizing travel and accommodation arrangements, whenever requested by any department.
3) Maintain address database as advised, every quarter.
4) Issuing and keeping track of transmittal notes, as well as filing them.
5) Responsible for Meet and Greet required by any department and liaising with logistics department for the transportation.
6) Applying for visas in liaise with the ROV operations Coordinator and the Survey secretary.
7) Ensure HR team meets their set HSE targets every quarter.
8) Administration of the HR meeting held regularly on weekly basis.
Personnel Duties:
1) Provide Induction of employees into the Company Management System.
2) Issuance of Fugro attendance cards and activating them on the system.
3) Deal with Recruitment providers.
4) Posting vacancies through different means of recruitment.
5) Filtering of CVs applying for certain vacancies.
6) Contacting candidates for interviews.
Miscellaneous Duties:
1) Handling housekeeping including, cleaners & offices boys leaves, and utilization and overtime.
2) Ensure the garden as well as all the plants & flowers in our offices are neat and fresh.
3) When applicable be available for temporary substitution of other positions in the company.
4) Actively participate in adherence to and improvement of the Company Management system
on Quality and HSE related issues, including achieving HSE targets.
Eductation
Graduation Qualifications: Bachelor degree
Working Experience: One year is preferred but not mandatory.
Certification
Knowledge of Quality, Safety and Human Resources Management Systems
Fluency in written and spoken English
Computer skills (Microsoft Office)
