Secretary to support Executive Office – Acquisition and Assistance Division
Provide support to the A&A Team on up-dating the procurement (monthly) tracking report, distributing and routing of purchase order or blanket purchase agreements, and Invoicing. For special duties, provide secretarial support to A&A including finalizing filing & closing out purchase orders, administrative issues, & computer entry of purchase orders and amendments for Vendor’s data, including data scanning & faxing.
Provide secretarial support to HR Division incl. personnel filing, admin issues, & computer entry of personnel data. Coordinate general office activities including logging, copying & routing documents as appropriate. For special duties, provide support to the Primary HR Assistant on doing pre-employment tests and interviews, set up meetings, and emails. Additionally assist with traveler and medical vouchers, travel authorization & travel vouchers for the Office Director and staff to go on trips, incl. arrangements for flights & hotels reservations or other related activities.
Provide secretarial functions and serve the BHS office team, including the Team Leaders as the admin assistant, and to support the Primary Secretary in the HPN Office. Activities included calendaring & managing the requests for appointments from cooperating agencies, partners, and others. Additionally, prepare computerized administrative documents such as technical reports, memoranda, and out-going correspondence according to required formats. Drafts non-technical letters, correspondences and routine memoranda as requested by the Team Leaders, and organizes the official HPN subject and project files

Reporting to President/Director & Company’s Assistant Director & Commissioner: the work included normal correspondence and filing, organizing meetings and writing Minutes of Meetings, arranging appointments and follow up action; trip scheduling, ticket, and hotel bookings for all Directors, Managers, and other staff for trips as required; Office management skills to organize and maintain office equipment, stationeries and services, as well as the conference meeting rooms. Additionally coordinating the renewal of the Company’s vehicles and other assets.
