Professional Experience
• Check email messages daily.
• Prepare travel order
• Forward the travel order to our HR department and General Manager for approval.
• Arrange flight details and hotel reservation
• Inform the managers thru email about their booking and flight details
• Received confirmation thru email from managers if their hotel booking and flight details is suitable for them.
• Coordinate to the travel agent for the issuance of the ticket.
• Surfing thru internet the different hotel site in order to arrange hotel reservation
• Sending fax message to hotel where the reservation is being arranged and requesting the reservation manager for the confirmation number, rates and type of rooms.
• Process Travel and General Expense Claim and sending it to Finance Department for payment
• Prepare purchase request such as payment for the ordered machine, outside conference, training and related transaction that needs Purchase Order and sending it to Procurement Department for further process.
• Main contact person for training of the department
• Booking of conference room for the technical meetings
• Prepare invitation letter request in order to get visa for the visitor who want to visit Ericsson for business matter.
• Sending the invitation request form to HR and Visa Section department for processing.
• Follow-up the invitation letter request from Visa Section
• Scanning of final invitation letter and sending thru email softcopy to the requestor as well as faxing it to Saudi Embassy to the country of the person who will visit Saudi Arabia.
• Received information thru email flight details of the visitor and arrange their hotel reservation and sending them the hotel confirmation number.
• Coordinate airport pick-up for our visitor thru our Transportation Department as well as transportation while staying to Saudi from Hotel to Ericsson Office and vise versa.
• Monitor office supplies regularly.
• Responsible to input the weekly time report of the department
• Process incoming and outgoing correspondence
• Assist the Bid Manager to prepare the tender for submission to the customer
• Answer incoming calls.
• Main contact person for registering outgoing letter
• Maintaining good filing system
