Filing, Controlling and Tracking of all call for inspection (CFI) Transmittals and Waiver Requests.
Setting up a Computer Aided Documentation management System to Control all Inspection / Test records and other related documents for Fabrication and Erection of the project and Non-Conformance Report (NCR) & Field Notice Report FNR)
Collecting Punch Point from Test Packages and maintaining the Hard copy to close the punch point and getting sign from the Client.
Keeping the record of all punches which signed by client, updating the status of the punches preparing the reports of the status of punch closed, to be closed. Distributing these reports in office and to client for ready update of the status of punch
Keeping track record of each transmittal which prepared for the different subsystem issue
Keeping record of Package’s Acceptance and Rejection status and the comment receive from the client will be inform by submitting copy to that in-charge to rectify the comment
Distribution of Controlled Documents
Taken a responsibility for updating the latest engineering drawing’s received different discipline like large and small bore instruments and piping etc.
Responsible for all documents work for this company, routing incoming mail. Responsible for the preparation of routine letter to the client, preparation of different forms by using computer. Preparation of design submittals such as Preliminary, Intermediate, Pre-final & Final and IFC/RFC, Material Submittal forms, Shop Drawing Submittal forms for PM signature and onward submission. Preparation of Monthly Project Status Report, Typing Minutes of Meeting and distribution of mail within the company
Relieving the officials of administrative and clerical work
Type correspondences, reports, minutes of meeting, memoranda, reports, reviews, drafts, others communications etc, Prepare Photostat copies of documents. Maintain Records
Maintain the office in a high standard of housekeeping at all times.
Perform miscellaneous other tasks (i.e. distribution of mail internally, inter departmental courier, maintenance of office operating statistics, etc.)
Liaise with Operations Contractor for day-to-day administrative works
Provide assistance to Contract Specialist of Operations
