Department HSE, Corporate Emergency and Security Department as Administration Assistant (temporary contract).


Responsibilities & Skills:

• Prepare meetings and agendas in advance and arranges meeting facilities
• Organizing and developing the filing and archive section at office.
• Arranging flight booking of over 100 senior ROP & Army Officers & PDO UIC staff.
• Maintaining the security & Emergency Web site by uploading the necessary documents, and redesigning it.
• Maintain proper office supplies and stationary stocks. Using SAP to order computer and standard stationary for all UIC teams, ensuring sufficient stock is available and maintaining the records of the orders
• Issuing employee and contractors security passes.
• Processing all letters to ROP for expatriates staff on:
a. Good conduct.
b. Permission Letters for Travellers to all over Oman.
c. Guarantee Letter at ROP when involved in accidents or civil cases.
d. Finger Prints requests to ROP Criminology Section.
• Typing of reports, letters, internal notes, Minutes of meetings and compilation of weekly highlights making view graphs, maintaining technical and personnel filing systems and maintaining registration of incoming / outgoing documents.
• Provide course administration support, keeping track Nominations for Local Courses and liaising with HRO/1 and skill pool manager regarding setting up courses
• Focal point for updating wardens database.
• Focal point for updating telephone charges to different ROP / Army / SSF charges.
• . Focal point for updating leave schedules.
• Focal points for arranging catering arrangements for meetings.
• Maintaining a sound record of all letters and filing system.
• fast typing skills in Arabic and English, which has helped us tremendously in executing correspondence with external government organizations.
• Attend daily security inquires.
• Organize social events, conference and workshops.
• Provide admin support & Performs all secretarial duties
