Professional Experience
Well experienced in administration, looking over the Admin. works with the Senior Resident Engineer, Drafting letters by corresponding with International Clients. Processing all in-coming correspondence such as regular mail, courier, faxes, e-mail and telephone calls to Site Office and Admin. Office. Maintaining an organized filing and follow-up system for all correspondence. Maintaining a daily, weekly, monthly log of appointments and meetings of Resident Engineer in a timely manner. Arranges to receive Oil and Gas publications and circulates among the staff. Maintaining Registers for e-filing and documentation. Maintain Document Control Registers (DCR) / Incoming & outgoing documents & prepares document transmittals, proper filing of project correspondence, report and drawings & project documents. Administering, coordinating and supporting all contract related activities for the Contracts, Materials and Purchasing groups serving both the Company and Pipeline Organization. Co-ordinating and managing documentation for all contracting requirements viz. contracts, work orders, sole source justification, contractor pre-qualification & safety assessment questionnaires. Monitors and prepares contracts and co-ordinates with service providers/contractors regarding renewals. Provides timely reminders to Supervisors for work order requirements. Preparation of a proper and systematic filing system and control over distribution of inwards to concerned department and proper follow up of every document whether inwards or outward. Inputs and checks invoiced values in the Contracts-Accounts Database for all active Contracts. Regularly interfaces with Contractors to ensure appropriate insurance coverage in respect of works in progress is current. Assisting Project Services & Materials Superintendent with various projects & assignments. Assisting in updating Materials & Contracting Procedures & Policy Manuals. Maintaining incoming/outgoing fax/letter/memo correspondence (as appropriate) and maintains a log of the same for Contracts Dept. Responsible for the filing system and database of the Contracts Dept., ensuring essential current and historical records are properly maintained, archived and/or is readily accessible.
