Professional Experience
(27/6/2009- now) recently working in Abu Dhabi media company as a (Personal Assistant for the CTO)
Duties & Responsibilities:
· Carrying out background research and presenting findings, producing documents, briefing papers, reports and presentations
· Provide coordination support to assist the Director in dealing with internal and external parties to ensure smooth communication and quick response
· Coordinate meetings, organizing and recording minutes of meetings, liaising with clients, suppliers and other staff
· Deal with opening, sorting, and distribution of mail, ensuring that mail of a confidential nature is handled effectively.
· As a Project coordinator: Carrying out specific projects and research & coordinating with Project Management Manager in some project preparing project charters, UAT & tracking projects progress (ex: IT security project, Oracle ERP, Wireless Internet)
· Display high level of integrity and confidentiality in view of the nature of duties
· Arranging Business trips for the managers booking ticket, transportation & accommodation and prepare mission expense summary.
· Briefing legal contracts - preparing contract delivery & approval notes
· Tracking the department accounts & related financial work ( spending & savings of the department) , tracking expenses & budget accordingly
· Plans and implements work objectives and schedules for specific accounting processes in order to ensure that an effective service is provided to the business.
Dealing with purchasing & finance department in:
· Payment settlements & requesting for LPOs for external vendors.
· Verification and processing of Project and Non-Project invoices
· Review invoices and supporting documentation to ensure completeness, accuracy and compliance with contractual terms
· Ensuring timely and accurate payment of vendor invoices ensuring that all transactions are completed within the agreed time frame
· Provides administrative support to ensure effective and efficient departmental operations
· Involved in implementing ORACLE ERP financial modules (AP ,INV,FA,PO & AR)
